Almost every week now someone calls us asking the same thing in different words. Can AI answer my customers for me? Can it take orders while I sleep? Can it follow up with the people who messaged and never replied?
The short answer is yes, much of that is now possible, and a lot of it is free to start. The longer answer is that AI agents do some jobs very well, a few jobs badly, and one job not at all — and knowing which is which will save you weeks.
An AI agent is software you give a goal and some tools, which then works out the steps by itself. A chatbot follows a script you wrote. An agent decides what to do next. That difference is the whole story.
This guide explains what AI agents actually are, what Meta’s new Business Agent does, what the other options are, and what a Ghanaian business should realistically expect — including what will go wrong.
Chatbot, automation, agent: the difference in one minute
These three words get used as if they mean the same thing. They do not.
- A chatbot follows a script. “Press 1 for price, press 2 for location.” If the customer types something you did not plan for, it fails.
- An automation follows a rule. “When someone fills this form, send this message.” Useful and reliable, but it never decides anything.
- An agent is given a goal and the tools to reach it. “Answer customer questions about our products, book appointments, and pass anything about refunds to a human.” It reads the message, works out what is being asked, checks your catalogue, and replies — including for questions nobody scripted.
Three things make an agent an agent: instructions (what it is for and what it must never do), tools (your catalogue, calendar, order system), and the freedom to choose the steps. Take away the third and you have a chatbot with better manners.
A simple test: if it can only do what you explicitly wrote down, it is a chatbot. If it can handle a question you never anticipated, it is an agent.
Meta Business Agent: the one most Ghanaian businesses will meet first
On 3 June 2026 Meta announced Meta Business Agent, its own AI agent for businesses, working inside the apps your customers already use. Meta says more than one million businesses are already using it on WhatsApp and Messenger, with expansion to Instagram announced.
This matters here more than in most markets, and we have the data to explain why. In our study of 200 Ghanaian ad campaigns, 85% of all advertising spend went on campaigns designed to start a conversation rather than take a payment. Ghanaian businesses are already buying conversations. The problem has always been answering them — at 9pm, on a Sunday, or while you are serving someone in the shop.
What Meta says it does
- Answers questions specific to your business — from the information you give it
- Recommends products from your catalogue
- Books appointments and qualifies incoming leads
- Hands over to a person at the point you decide
- Closes sales
- Gives you a morning briefing on the chats that came in overnight
That last one is quietly the most useful feature for a small business owner. You wake up, and instead of scrolling through forty unread chats, you get told what happened and what needs you.
What it costs
Meta says getting started is free, and that in the coming months businesses will access the agent through paid subscription options for businesses of every size. No prices have been published.
You may see articles quoting exact per-message or token prices. Meta’s own announcement does not give those figures, so treat them carefully and check what your own account shows before planning a budget around them.
Is it available in Ghana?
Meta describes the rollout as global but does not publish a country list, and features reach markets at different times. The only reliable answer is what your own account shows. Open Meta Business Suite or your WhatsApp Business settings and look for the AI or Business Agent section. If it is there, it is available to you; if not, it is coming.
What you need before switching it on
An agent is only as good as what you give it. Before you turn anything on, have these ready:
- Your twenty most-asked questions, with the real answers. Price, delivery time, location, payment methods, sizes, warranty, returns.
- A clean, current catalogue with correct prices. An agent recommending an item you stopped selling in March is worse than no agent.
- Clear rules for what it must never do — for most businesses that means never agreeing a discount, never promising a delivery date it cannot confirm, and never handling complaints.
- A handover point. Decide exactly when a human takes over, and make sure someone is actually watching.
What an AI agent will not do well — especially here
This is the part that gets skipped in most articles, and it is the part that decides whether this works for you.
It will not bargain like a Ghanaian seller. Much trade here involves negotiation, reading the customer, and deciding on the spot what you will accept. An agent either holds a fixed price or gives away margin. Keep pricing decisions with a person.
It struggles when customers mix languages. Customers write in English, Twi, pidgin, and often all three in one message. These systems handle English best. They will manage some of the rest, and will misread some of it.
It cannot confirm a mobile money payment by looking at a screenshot in the way a person can. It can tell a customer where to send money and flag that payment was claimed, but someone still has to verify it landed.
It will answer confidently even when it is wrong. If your information is vague, the agent fills the gap with something plausible. Vague instructions do not produce careful answers; they produce confident invented ones.
Some customers simply want a human, and a customer who realises they are being handled by a machine on a complaint gets angrier, not calmer.
None of this means do not use one. It means use it for the volume, and keep a person for the judgement.
The other kinds of agents worth knowing about
WhatsApp chatbots through the Business API
Tools such as Wati, Manychat, Gupshup and 360dialog connect to the official WhatsApp Business API and have been doing this work for years. Compared with Meta’s own agent they give you more control — connecting to your stock system, sending order updates, building custom flows — at the cost of a monthly fee and more setup. If your business needs the agent to talk to your own systems, this is usually the route.
Assistants for your own work
ChatGPT and Claude are not customer-facing agents by default, but they take real work off your desk: drafting ad copy and product descriptions, replying to supplier emails, summarising a long chat, turning a messy voice note into a clear message. Most business owners get more value here first, because nothing can go publicly wrong while you learn.
Workflow agents — the “do this, then that” layer
Several callers ask specifically about scheduling workflows. That is what tools like n8n, Make and Zapier do, and they now include AI steps. A realistic example for a Ghanaian online store:
A new order arrives → it is recorded in a Google Sheet → the customer gets a confirmation on WhatsApp → your dispatch person is notified → three days later the customer is asked whether the item arrived → if they do not reply, a reminder goes out once, and only once.
Nobody touches that chain after it is built. This is where most businesses save the most hours, and it is far less risky than letting AI speak to customers unsupervised.
Voice agents
Agents that answer phone calls exist and are improving quickly. Be cautious for now: Ghanaian accents, names and phone-number readback are exactly where they still stumble. Test one yourself before you let it answer your business line.
And one that is not an agent at all
Meta’s advertising automation — Advantage+ and its AI targeting and creative tools — gets called an AI agent constantly. It is not. It is automation inside the ad system, and it is a different subject with different rules, which we covered in what Meta’s AI can and cannot do for your ads.
A realistic first project, in about a week
- Day 1–2: write your twenty questions and answers. Do this even if you never switch an agent on — it is the document your future staff need too.
- Day 3: clean up your catalogue and prices. Remove what you no longer sell. Fix the prices you changed and forgot.
- Day 4: write the rules. What it may answer, what it must escalate, what it must never say.
- Day 5: turn it on for one channel only. WhatsApp is usually the right one. Not all channels at once.
- Week 2: read the first fifty conversations. Every single one. You are looking for wrong answers, missed sales and questions it could not handle. Fix the instructions, then repeat.
Businesses that skip step 5 are the ones who conclude “AI does not work.” The agent is not finished when you switch it on; that is when it starts learning what your business actually says.
When an AI agent is the wrong answer
- You get five messages a day. Answer them yourself. You will do it better, and the customer will feel it.
- Every price is negotiated. The agent will either lose you margin or lose you the sale.
- Your product information is a mess. Fix that first — an agent trained on unclear information produces confident nonsense at scale.
- Nobody will review the conversations. An unmonitored agent is a liability, not an employee.

Do I still need a human?
Yes. The realistic gain is that one person handles the volume that used to need three, and stops losing the sales that arrive at 11pm. The role changes from answering everything to supervising and handling what matters.
The honest summary
AI agents are genuinely useful for Ghanaian businesses, and the reason is specific rather than fashionable: most of the advertising money in this market buys conversations, and conversations are exactly what businesses are worst at keeping up with. An agent that answers instantly at midnight, recommends the right product and books the appointment is solving the actual bottleneck.
What it will not do is fix unclear pricing, replace your judgement, or run without supervision. Start with your twenty questions, turn it on for one channel, and read the first fifty conversations yourself.
